What is EDMS?
An Electronic Document Management System (EDMS) comprised of hardware and software which allows for the capture, retrieval, modification, and storage of all forms of paper and electronic documents.
Although capable of more robust functions, the basic functions of an EDMS allow for a user to scan a document, save a digital version of the document, allow others to see and manipulate the document via the Internet, and safely and securely retain the document electronically.
UPDATE:
In August 2009, we reached the 2,000,000 mark in total pages scanned!
This milestone marks the combined efforts of the Campus AP and Payroll departments, UCDHS AP, Payroll, and Finance departments, Environmental Health and Safety, and Student Accounting. This is a fantastic step forward in our efforts to attain a greener, more environmentally friendly workplace. Not to mention that there are now over two million pages available at your fingertips!
Images available from DaFIS DS! If an invoice has been scanned for an Accounts Payable document, you can now see the image directly from DaFIS Decision Support. Just click on the View Scanned Images link from the Payment Detail (111) report (see sample). Only approved documents from this fiscal year are being scanned thus far; no link will show up if there is no image yet.
When will EDMS be implemented at UC Davis?
EDMS will be implemented in several central units over a five year period.
