Prevent Problem Liens

Step 3: Prevent Problem Liens   INTRO   1   2   3
What to doHow to do it
A. What you need to know Credit Liens:

Credit liens result in overstating your financial balance for a particular account. To minimize credit liens do not:
  • change the accounting information on any purchasing document while it is in routing
  • process a CDPO or RPL while a VI is in routing
  • process a VI for a closed DPO or DRO
  • process an RPL:
    • while a VI or NPCO is in routing
    • after a DPO, DRO, or PO is closed
  • process a DE for a DE that has a reversal date
  • template a VI
DPO/DRO/PO:

  • always use a VI document to pay an invoice and be sure to cite the correct DPO/DRO/PO (sometimes the vendor may indicate an incorrect order number on the invoice)
  • always mark the Pay in Full box appropriately; it should be marked Yes on the last VI for the order
  • do not pay against canceled/closed DPOs; create a new DPO for the remaining payment(s)
DE:

  • If you enter a reversal date you won't be able to change it. Instead of entering a reversal date you can create another DE when it's time to reduce or remove the lien.
