Who Can Approve Entertainment Expenses
Approval Requirements
When planning an entertainment event, the host must acquire advance approval from a person who is authorized to approve entertainment. By policy, the following approvals are required for entertainment expenses:
- Campus: Department heads are authorized to approve entertainment expenditures.
- School of Medicine: Department chairs, directors of institutes and organized research units, associate vice chancellors for health sciences and administration, and the associate Dean of Administration have approval authority for entertainment expenses.
- UCD Medical Center: The director of the UCD Medical Center has approval authority.
- Exceptional entertainment: In addition to any approvals that normally apply (see above) exceptional expenses must be approved by the Associate Vice Chancellor - Finance or by the Chancellor, as required by policy.
Approval Restrictions
- Individuals with delegated approval authority cannot approve entertainment for someone to whom they directly report. The approving authority should be the supervisor, or higher, of the official host.
- Individuals with delegated approval authority shall not approve their own entertainment.
Approval Delegations
Delegations of authority must be documented on a
DaFIS Approval Authorization form (see
Section 330-10).
