How to Complete a Physical Inventory

A. Compare DS equipment reports Run the Asset Lookup (143) & Equipment Register (170) queries:
  • Enter the custodial code in the Custodial Code field.
  • Click on the Process Query button.

Mark the assets that appear on 143 but not on 170. If all assets that appear on 143 also appear on 170, skip to section C.

Note: If there are no equipment items for your custodial code, the Equipment Certification Form must still be signed and sent to Equipment Management. See Step 5.

B. Add received dates to CAMS In DaFIS Transaction Processing, complete the CASM for each asset.
  1. Select Capital Asset Maintenance from the CAMS Maintenance section.
  2. Enter an asset number in the Asset Num field and tab out of the field.
  3. Enter the received date in the Received Date field.
  4. Click the OK button to update the asset.
Note: Since DS updates nightly, wait until the next business day to continue.
C. Run the Equipment Physical Inventory Listing (204)
  • Enter the custodial code in the Custodial Code field.
    Note: For multiple custodial codes use the Custodial Code List field instead.
  • Use the Equipment Inventory Grouping field to sort by different criteria.
  • Use the Equipment Threshold Filter
  • to identify what items you want to see. For equipment certification purposes, you are responsible for physically verifying all items at or above the equipment threshold.
  • Click on the Process Query button.
